Electronic Archiving with Doxee Platform®
Doxee Platform® preserves business-critical documents so they stay legible, unaltered and legally defensible for as long as the law requires. Built on the OAIS model, with qualified signatures and qualified timestamps sealing every archival package, an auditable record of every operation, and all data held within the EU.
Turn Document Storage into Legally Defensible Preservation
Doxee’s Electronic Archiving is a long-term digital preservation service: it takes the documents your core systems already produce and preserves them under a controlled, auditable process. Files arrive in a submission package, are validated against an agreed submission agreement, and assembled into archival packages whose XML index carries the hash of every document and is sealed with a qualified signature and a qualified timestamp. Integrity, legibility and format obsolescence are monitored across the retention period, and every critical operation is written to a signed audit trail. On retrieval, the platform issues a dissemination package with a signed integrity report. Processed entirely within the EU.

FAQ
What is Doxee's Electronic Archiving service?
A long-term digital preservation service that keeps business-critical documents legible, unaltered and legally defensible for the whole retention period the law requires.
Which documents can be preserved?
Invoices, receipts, registers and financial statements; procurement, sales and logistics records; corporate, legal and HR documentation; business email; and system logs.
How is integrity protected?
Each document is hashed on intake and listed in an XML archival index, which is then sealed with a qualified electronic signature and a qualified timestamp.
What is an integrity report?
A signed report issued on retrieval, comparing the hash stored at ingestion with the hash recalculated at retrieval and setting out the preservation history.
What happens as formats and storage media age?
Both are monitored across the retention period; when either becomes obsolescent, packages are migrated and the hashes before and after are recorded as a critical event.
Is the service based on a standard?
Yes. It follows the OAIS model and the European technical specification for archiving trust services, with national index standards where a country requires them.
Is Doxee a qualified archiving trust service provider?
Not yet: no EU list of qualified electronic archiving providers exists to date. The service meets the Italian AgID framework and is aligned to eIDAS 2 principles.
Who can access preserved documents?
Roles are separated: business users search and retrieve, auditors hold read-only access for third-party audits, and preservation managers oversee the archive.
Can an existing archive be migrated in, or out?
Yes. Packages can be taken over from another provider and reindexed, and the whole archive can be exported with its audit trails and reports if you move on.
What happens at the end of the retention period?
Packages are deleted on the schedule configured for the document category, and a signed deletion report is issued and kept as evidence of disposal.
